• For property owners: property details, bank account details for rent disbursement, and insurance information
• Records of our communications with you

• Respond to your enquiry and provide the services you have asked for
• Prepare land and building contracts, leases and management agreements
• Assess rental applications and manage tenancies, including rent collection and maintenance
• Send you information about packages, releases or rentals that match what you told us you are looking for (you can opt out at any time)
• Meet our legal obligations, including under the Estate Agents Act 1980 (Vic) and the Residential Tenancies Act 1997 (Vic)

3. Who we share it with

We only share personal information where it is necessary to provide our services or where the law requires it. This may include:

• Land developers and builders, to prepare and administer your contracts
• Mortgage brokers, conveyancers and solicitors you engage or ask us to refer you to
• Property owners (for rental applicants) and tenants (for owners), to the extent needed to manage the tenancy
• Tenancy database operators and reference-checking services, as permitted by law
• The Residential Tenancies Bond Authority, tradespeople and contractors carrying out maintenance
• Our IT, CRM and email service providers who host our systems

4. Storage and security

We store personal information in secure, access-controlled systems, some of which may be hosted by third-party providers in Australia or overseas. We take reasonable steps to protect it from misuse, loss and unauthorised access, and we retain it only as long as needed for the purposes above or as required by law.

5. Cookies, analytics and embedded maps

Our website uses cookies and analytics tools ([e.g. Google Analytics]) to understand how visitors use the site and to improve it. This information is aggregated and does not identify you personally. You can disable cookies in your browser settings.

• Our contact page shows our office location using Google Maps, provided by Google LLC. When that page loads, your browser connects to Google, which may collect information such as your IP address and set cookies, and may use it in accordance with the Google Privacy Policy. We do not receive any personal information from Google through the map. If you prefer not to load it, you can use the address and “Get directions” link on the contact page instead.

6. Access and correction

You can request access to the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We will respond within a reasonable time and may need to verify your identity first.
